The notetaker didn't join my meeting

When the notetaker misses a meeting, the cause is almost always one of five things: it wasn't enabled, it wasn't switched on for that meeting in time, the meeting link isn't one it supports, nobody let it in from the lobby, or the recording owner is out of minutes. Work through the checklist in order.

Checklist

  1. Is the notetaker enabled at all? Open notetaker settings and check that Enable notetaker is on. Without it, no bots are ever sent. See What is the notetaker?
  2. Was the toggle on before the meeting started? The bot is scheduled ahead of time from the toggle on the meeting card. Turning it on after the meeting has already begun doesn't send a bot to that meeting. Join meetings automatically in settings makes new meetings default to on.   3. Does the meeting have a supported link? The bot joins Microsoft Teams, Google Meet, and Zoom only, and only calendar events that carry a joinable link show a bot toggle. If you paste a link manually and see "That doesn't look like a Teams, Meet, or Zoom meeting link", check for typos or an unsupported platform. See Send the notetaker by pasting a link
  4. Was the bot admitted from the lobby? The bot joins as a guest, so someone in the meeting usually has to let it in. Microsoft Teams labels external participants "Unverified", and Google Meet asks the host to explicitly approve the bot. If nobody admits it before the meeting ends, the card shows Notetaker wasn't let in. Warn the organiser in advance that a notetaker will knock.
  5. Is the recording owner out of minutes? When several Canto users share one meeting, a single bot joins and one person's plan pays for transcription. If that person has used their free minutes, everyone sees Waiting on the recording owner's plan until they upgrade. See Why did only one bot join?

One more requirement: the meeting has to actually start. A bot sent to a meeting where nobody ever joins the call has nothing to record.

What do the status pills mean?

  • Notetaker joining… — the bot is on its way or waiting in the lobby.
  • Notetaker in call — the bot is in the meeting and recording.
  • Notes ready — the recording is transcribed and in your library.
  • Notetaker wasn't let in — nobody admitted the bot before the meeting ended. Nothing was recorded.
  • Notetaker canceled — the bot was called off, either by you or because another Canto user's bot already covers this meeting.
  • Notetaker failed — something went wrong on our side. Failed joins are retried automatically while the meeting window is open; if it keeps happening, contact support.
  • Waiting on the recording owner's plan — the meeting was recorded but the owner is out of transcription minutes.

The toggle never appeared for my meeting

The toggle only shows on meetings that come from a connected calendar and contain a Teams, Meet, or Zoom link. If the meeting is missing entirely, see My calendar isn't syncing. For a meeting that isn't on your calendar, paste its link in notetaker settings instead.
