File recurring meetings automatically

When a note comes from a meeting Canto recognises as part of a series — a recurring calendar event, or a meeting you've recorded before — the web app offers to keep the series together: one Space for the meeting, with every future note filed there automatically.

What does the prompt look like?

After the meeting's notes are ready, a prompt titled Keep these meetings together? appears, saying that the meeting "looks like a recurring meeting" (or "looks like a meeting you've recorded before") and that Canto can create a folder for it and file every future note there automatically.

You have three choices:

  1. Create folder — creates the Space, files this note, and files each future note from the series as it's transcribed.
  2. Skip — no folder this time; Canto may offer again for a later occurrence.
  3. Don't ask for this meeting — silences the offer for this series.

How does the share-with-attendees step work?

If the meeting came from your calendar with attendees, creating the folder continues to a second step: Share with attendees? It lists the event's attendees as a checklist, and explains what sharing means: "Members can read and chat with every note in this folder. People outside your domain start unchecked."

  • Attendees on your email domain start checked; people outside it are marked external and start unchecked — sharing outside your company is an explicit opt-in, never a default.
  • Untick anyone you don't want in the Space, or share with nobody and keep the folder private.
  • Attendees without a Canto account yet are invited: "People without a Canto account get added the first time they sign in."

Everyone you leave checked becomes a member of the Space — which means the whole series, including future notes, not only this one. See Share a Space with others.

What happens on later occurrences?

Nothing to do: each future recording of the series — whether the notetaker attended or you recorded it yourself from the calendar card — lands in the Space when its notes are ready, already visible to the members. The Space behaves like any other: its own folder chat can answer questions across the whole series, which is where series filing pays off.

FAQ

Can I get the prompt back after choosing "Don't ask"?

The offer stays off for that series, but automation isn't required — create a Space yourself and add the recordings, or record into the folder directly.

Does this work on iOS and Android?

The prompt is a web feature today. Spaces created by it sync everywhere, so the phones see the same folder and its notes — only the offer itself appears on the web.

A note from the series wasn't filed

Auto-filing keys off the meeting series. A recording made outside the calendar context — an ad-hoc recording with a similar name — may not match; file it by hand and the folder is otherwise unaffected.
