Auto-join meetings from your calendar
Updated 16 Aug 2026 · iOS, Android, Web
With a calendar connected and the notetaker enabled, Canto watches your schedule and sends the bot into upcoming Microsoft Teams, Google Meet, and Zoom meetings without you doing anything per call. You control it with one default setting plus per-meeting toggles on the home screen.
How do I turn auto-join on?
- Connect a calendar — Google Calendar or Microsoft 365.
- In notetaker settings, turn on Enable notetaker ("Watch your calendar and join your meetings").
- Leave Join meetings automatically on. This is the "Default for new meetings — override per meeting on the home screen".
From then on, any calendar event with a Teams, Meet, or Zoom link gets the bot. Meetings you have declined and all-day events are skipped. The organiser still has to admit the bot from the lobby — auto-join gets it to the door, not through it.
How do I override a single meeting?
Each meeting under Today's meetings on your home screen shows a bot toggle — Bot on or Bot off. Click it to flip that one meeting: "Notetaker will join — click to keep it out", or "Click to send the notetaker". This only affects the meeting you clicked, not the series and not your default.
Use this to keep the bot out of a sensitive call while leaving auto-join on, or to send it to one meeting even though your default is off.
How do I override a recurring series?
Toggling the bot on a recurring meeting well before it starts sets the preference for that series, so it sticks across occurrences — every future instance of that meeting inherits it. This is how you say "always record my Monday stand-up, never my one-on-one" without touching the global default.
The order of precedence is: a per-meeting toggle you set beats the series preference, which beats Join meetings automatically.
When does the bot actually join?
Canto schedules the bot ahead of time and it arrives at the meeting's start. If you flip a toggle on with less than a few minutes to go — or while the meeting is already running — the bot heads in immediately. Rescheduled meetings follow the event: if the organiser moves it, the bot moves with it.
Troubleshooting
The toggle doesn't appear on a meeting?
The bot toggle only shows on events that contain a Teams, Meet, or Zoom link Canto recognizes. Events without a meeting link — or with a link from another platform — can't take a bot. You can still tap the meeting to start a normal note with the title pre-filled.
The toggle was on but there are no notes?
Check the status pill on the meeting card. Notetaker wasn't let in means nobody admitted the bot before the meeting ended; Notetaker failed means something went wrong — see The notetaker didn't join my meeting.
