How it joins
The notetaker appears in the participant list under the name you give it, and it waits in the lobby until the organiser admits it.
Teams is the platform Canto was built against first, and the integration goes through Microsoft Graph rather than a plugin, so there is nothing for your IT team to deploy to anyone's desktop. Connecting the calendar is a one-time consent that Microsoft shows once; after that the notetaker works from your meeting list. Where a tenant restricts calendar access, that shows up as a clear error at connect time rather than silence later.
Two ways to start
- From the calendar. Connect Google Calendar or Microsoft 365, then switch the notetaker on for a meeting or for a whole recurring series. It joins on its own from then on.
- From a link. Paste a join URL and the notetaker goes to that meeting, which is the quicker path for a call that is not in your calendar or that someone else organised.

Recording is announced, not hidden
The notetaker is a visible participant with a name you choose, in the list for the whole call, admitted by whoever runs the meeting. That is the opposite of a covert recording, and it is deliberate. It does not replace telling people what the recording is for, which is a legal question rather than a product one.
Questions
Do I need an admin to install anything in Teams?
No. The notetaker joins as a guest participant using the meeting's join link, the same way an external person would, so there is no app to deploy inside your tenant. Connecting your Microsoft 365 calendar is a consent you give once for your own account, though some tenants restrict calendar access at the organisation level, in which case connecting will fail with a message saying so.
Will other people know the meeting is being recorded?
Yes. The notetaker appears in the participant list under the name you give it, and the organiser has to admit it from the lobby before it records anything. Teams also flags guest bots from outside the tenant as unverified, which makes it more visible rather than less.
What happens if two people from my team both use Canto?
One notetaker joins the meeting and both of you get your own copy of the recording, transcript and notes in your own account. The participant list does not fill up with one bot per colleague.
Does it work for Teams calls that are not in my calendar?
Yes. Paste the join link into Canto and the notetaker goes to that meeting. That is also the route for a call someone outside your organisation set up.
